Flow 058 · Invoice processing
Invoices in, posted and paid, without the retyping.
AI reads every invoice that lands in your AP inbox, matches it to the purchase order, gets the right person's approval in Teams and posts it to your ERP. Anything unusual stops and waits for a person.

What lands with your team
Your finance team should be reviewing exceptions, not keying in invoice numbers. This flow does the reading, matching and chasing. Your team only sees the invoices that genuinely need judgment.

How it works
- Starts when
- An invoice arrives in your AP inbox or upload folder.
- Runs automatically
- Reading vendor, amounts, dates and PO numbers from PDFs and scans; matching each invoice to its purchase order and goods receipt; routing approvals to the budget owner in Teams, with reminders; posting the bill to your ERP and filing the PDF where auditors expect it.
- Where AI helps
- Reading each invoice, scoring its confidence field by field, and spotting look-alike vendors and changed bank details.
- Where you’re in charge
- Anything over your threshold, any mismatch and any new or changed vendor.
What stays with a person
- Any invoice over the amount you set
- Mismatches between invoice, PO and receipt
- New vendors and changed bank details, every time

Questions teams ask
- What if an invoice is a bad scan or a handwritten one?
- The flow scores how confident it is in each field. Anything below your threshold goes to a person to confirm before it moves on.
- Can it handle invoices in different layouts from hundreds of vendors?
- Yes. The extraction model is trained on general invoice layouts, and we tune it on a sample of your real vendors during the build.
- Will we need new Microsoft licenses?
- Often not. Many of these flows run on what you already have in Microsoft 365. Some steps need premium connectors or AI credits, so we check your current licenses on the first call and tell you exactly what, if anything, you would add before you commit.
