No-shows, missed follow-ups, and buried intake forms, handled quietly.
Free automations for therapists, coaches, and practitioners: clients reminded, quiz takers followed up, urgent messages flagged before they get buried. Set one up yourself in about 15–20 minutes on Google (longer on Microsoft), or have me build it.
11 years running the details
I spent over a decade building systems behind the scenes in ultra-high-net-worth households before turning that operations instinct toward software.
Psychology-trained, practice-aware
A BA in Psychology and years of nervous system research, so the language your clients receive is warm, careful, and sounds like you.
Try it before you trust it
Every flow has a live demo you can click through before you download or book anything. Start with practice triage.
Discovery
We map your current workflow and find where time and accuracy are being lost.
Build
I design and build an AI-powered workflow tailored to your systems and rules.
Optimize
We test, refine, and hand off a workflow that keeps saving you time long after launch.
Start with the flow
that fits your work.
Every flow has a live demo, a step-by-step setup guide, and two ways to get it: free to set up yourself, or built for you.
Nervous System Practice AI
Surfaces urgent client language and sends warm acknowledgments to routine messages, so nothing important sits unread while you’re in session.

Turns a short client check-in into a one-page brief in your inbox and sends the client a short, state-matched reset. Your admin is handled. Your client gets support before they even sit down.

Nervous System Practice AI
Intake & Triage
|
Therapists, coaches, and practitioners who want new client intake sorted and prioritized before they even open it. | Reads new intake submissions, organizes the key details, and flags anything that reads as higher-priority or time-sensitive. | A new intake form is submitted. | About 15–20 min (Google), 45–60 min (Microsoft) |
|
Booking & Reminder
Appointments
|
Any service business tired of no-shows and manually texting “see you tomorrow” reminders. | Automatically sends confirmation and reminder emails around a booked appointment, no manual follow-up required. | A new appointment is booked. | About 15–20 min (Google), 45–60 min (Microsoft) |
|
Quiz Follow-Up
Lead Nurture
|
Anyone using a quiz or assessment as a lead magnet who wants the follow-up to happen the moment someone finishes it, not whenever they remember. | Sends a tailored follow-up email the moment someone completes your quiz, while the interest is still warm. | Someone completes your quiz. | About 15–20 min (Google), 40–50 min (Microsoft) |
|
Pre-Session Brief
Client Check-In
|
Therapists, coaches, and somatic practitioners who want to know how a client is arriving before the session starts. | Turns a short client check-in into a one-page brief in your inbox, and sends the client a short reset matched to how they're feeling. | A client submits the check-in form. | About 15–20 min (Google), 30–40 min (Microsoft) |
Each kit comes for Google (Apps Script) or Microsoft (Power Automate), with its own step-by-step setup guide and no coding. Enter your email, pick Google or Microsoft, and the kit arrives in your inbox. No newsletter.
Tell me the problem.
I'll tell you the fix.
The most common things that bring practice owners here, and exactly what solves each one.
“People book, then just… don't show up.”
Sends the confirmation and the reminders automatically, so a no-show isn't something you find out about by staring at an empty chair.
See the flow →“Someone takes my quiz, gets excited, then goes cold.”
Starts the nurture sequence the moment they finish, while the interest is still warm instead of whenever you remember to check.
See the flow →“Intake forms pile up and I can't tell what's urgent.”
Reads every new submission, organizes the key details, and flags anything time-sensitive so it doesn't sit buried in a folder.
See the flow →“I walk into sessions with no idea how the client's actually doing.”
Turns a quick client check-in into a one-page brief in your inbox and a short state-matched reset for the client, so both of you arrive prepared.
See the flow →“I want all of this handled, not just one piece of it.”
Every client touchpoint wired together as one system instead of four separate tools. $2,400 instead of $3,000 built separately.
See the Practice Suite →“None of these are quite my problem.”

The flow is the same in every case. What changes is how much of the work you want off your plate.
Set it up yourself
- A ready-to-paste flow for Google Apps Script or Microsoft Power Automate, your pick
- Step-by-step setup guide: about 15–20 minutes on Google, 25–60 on Microsoft
Have it built
- I build, connect, and test the flow
- Wired to your email, calendar, and booking link, on Google or Microsoft
- Handed over to your own account, so it never depends on me
- A week of support after launch
Usually ready within a week of your intake. Prefer to talk? Book a call instead.
Keep it running
- I monitor the flow and fix anything that breaks
- One adjustment a month: new wording, a new rule, a changed form
- Added to any done-for-you setup
The Practice Suite
- Every client touchpoint, one system: quiz follow-up, booking reminders, message triage, and the Pre-Session Brief
- Wired together so it sounds like one practice, not four different tools
- First month of monitoring included
Questions people ask first
Do I need to know how to code?
No. The free kits run on Google Apps Script or Microsoft Power Automate, whichever you already use, with a step-by-step guide, and most people finish the Google version in about 15–20 minutes. The Microsoft versions take longer (25 to 60 minutes) and need a work or school Microsoft 365 account with Power Automate; personal outlook.com accounts can’t run them. If you’d rather not touch it at all, I’ll build it for you.
Where does my data live?
In your own Google or Microsoft account. Every done-for-you flow is handed over to you, so it keeps working whether or not we ever speak again.
Is this okay for client information?
The flows run inside your own Google or Microsoft account rather than on my servers. If you handle protected health information, confirm that your Google Workspace or Microsoft 365 plan covers it, and that the right agreement is in place, before connecting client messages. I’m happy to build within whatever setup you already have.
What if I get stuck on a free kit?
You’ll get a check-in email two days after you download. Reply to it with what you’re seeing and I’ll point you in the right direction.
What does “keep it running” cover?
Monitoring, fixes when something breaks, and one adjustment a month, like new wording, a new rule, or a changed form. It’s $199 a month and works as an add-on to a done-for-you setup.
How long does a done-for-you build take?
Usually ready within a week of your intake.
Custom client flows
Client systems that work on your clients’ worst days.
I redesign how practitioners, programs and wellness businesses run the client journey, so intake, follow-up and check-ins still work when someone is overwhelmed and you are out of hours.
How does your body feel right now?
Tap one. You get a single next step, not a list.
Example: Flow 001, the universal check-in. Try it. Sample wording only. Your version uses your voice, your approach and your handoffs. In crisis? Call or text 988 (US).
Beyond these four, there are 51 flows.
Intake and triage, capacity and focus, cycle-aware tracking, practitioner tools, client journey, and AI admin. Filter by area below, or see the whole library.
Automation where it helps. People where it matters.
I don't diagnose or treat anyone, and nothing I build does. I design the system around the people you serve. Anything clinical stays with you or a qualified professional.
Automation handles
Confirmations and reminders. Routing messages to the right inbox. Charts of a client's own data. First drafts that a person reviews.
A person always reviews
Safety flags. Clinical interpretation. Sensitive messages to clients. Anything ambiguous or unexpected.
Never part of the work
Diagnosing. Treating. Telling a client why they feel the way they do. Collecting data you will not use.
